Chemodyes

About the Client

Chemodyes is a Gujarat-based manufacturer and exporter of textile dyes, pigments, specialty chemicals, and inks, serving a diverse global customer base. The company has built a reputation in the textile industry for high-quality colorants and chemicals used in fabric processing. Despite its international reach, Chemodyes previously had a very limited digital footprint – lacking even a basic corporate website – and managed most business processes through traditional, offline methods.

Chemodyes

Challenges and Goals

Chemodyes had never invested in a digital presence or internal IT systems, which led to numerous operational challenges. Internally, orders were tracked through Excel spreadsheets and long email threads, resulting in frequent miscommunication and data inconsistencies. These manual processes caused delays – with shipments often running late due to lack of coordination – and management had little real-time visibility into order status or inventory. Chemodyes’ leadership recognized the need for both a professional web presence and a robust, role-based Order Management System (OMS) to streamline operations and support their complex, multi-step workflow.

Problems Workshop & Solutions Discovery

Problems

No digital workflow or centralized platform for order processing.

Solutions

Built a custom web-based OMS using Laravel (PHP framework) with a MariaDB database, digitizing the entire order lifecycle in one unified system.

Problems

Lack of automation for routine updates and communications.

Solutions

Implemented automated email notifications and status alerts (e.g. order confirmations, dispatch updates), reducing the need for manual follow-ups and ensuring stakeholders stay informed in real time.

Problems

Poor visibility into order status and inventory levels.

Solutions

Provided real-time tracking dashboards and advanced reporting features for full visibility. Managers and staff can now monitor each order’s status, stock availability, and delivery timeline at a glance, enabling proactive decision-making.

Problems

Inventory control and delivery scheduling issues leading to late deliveries.

Solutions

Integrated an inventory management module and delivery scheduling into the OMS. The system auto-updates stock levels as orders are processed and flags any shortages, while delivery coordination tools help improve on-time shipment performance.

Problems

Unstructured communication and unclear role responsibilities in the process.

Solutions

Introduced role-based user accounts with clearly separated access and workflows for each department (sales, production, logistics, etc.). This ensured that each team member sees only the information and tasks relevant to their role, greatly reducing miscommunication and oversight errors.

Problems

Cumbersome, multi-step order entry and tracking using spreadsheets.

Solutions

Designed minimal-click workflows with an intuitive user interface. Common tasks (like creating a new order or updating status) were streamlined to require only a few clicks, and form fields were optimized for quick data entry. This dramatically improved user efficiency and reduced training time for staff.

How We Helped

Deep Technologies partnered closely with Brand Factory across four key phases combining strategic planning, modern design, and robust development to deliver a scalable, high-performance platform tailored for global wholesale operations.

Discovery & Planning

We began with on-site workshops and discovery sessions involving Chemodyes’ key departments. Together with the client’s team, we mapped out their end-to-end order workflow – from initial sales inquiry to production, quality check, dispatch, and delivery. These sessions helped identify pain points in each step (for example, how orders were handed off between sales and production) and defined the requirements for an ideal solution. This collaborative planning established a clear roadmap and ensured the custom system would mirror Chemodyes’ real-world processes.

UI/UX Design & Wireframing

Next, our design team created detailed wireframes and prototypes using Figma. We crafted a responsive user interface tailored to each role in the organization. The focus was on a clean, easy-to-navigate layout that works seamlessly on desktop and tablets. We incorporated Chemodyes’ branding into the website and OMS design, ensuring a professional look and feel.

Development & Integration

Deep Technologies developed the solution using Laravel for a robust back-end and MariaDB for a reliable, scalable database. We built the internal OMS application with a modular architecture. Key features implemented included automated email alerts (triggered on important events like new order creation or dispatch), fine-grained access control for different user roles, and an integrated inventory & quality control (QC) module to track stock and lab testing results. We ensured that the OMS could handle complex order data (multiple product types, batches, container-wise tracking) without performance issues.

Testing & Training

Once development milestones were reached, we conducted deep testing phases. This involved unit testing of each module, integration testing for end-to-end workflow, and user acceptance testing (UAT) with Chemodyes staff. Each department tested the OMS with real-world scenarios to validate that it met their needs. Feedback from these sessions was used to further polish the system. After quality assurance, we rolled out the OMS in a phased manner. Department-specific training sessions and documentation were provided, so every user understood how to use their new tools. By involving actual Chemodyes team members in testing and training, we also gained buy-in – users were comfortable with the system from day one of launch.

Website Launch & Ongoing Support

We launched Chemodyes’ official website alongside the OMS deployment. The new site gives Chemodyes a credible online presence, complete with an overview of their products, industry certifications, and inquiry forms for potential customers. The website and the OMS were both delivered on schedule. Post-launch, Deep Technologies provided continuous support, monitoring system performance and handling any adaptation requests. We established a feedback loop with Chemodyes to ensure the solutions continue to evolve with their business.

Results

The transformation for Chemodyes has been substantial. The custom OMS and new website together addressed all the initial challenges and added significant value to the business:
